Job Description:

The Product Support Specialist – Tender Support serves as a critical partner to Sales Representatives, Customer Care, and Regional Tender Teams by providing first-level support in the tendering process. This role requires strong attention to detail, ownership of deliverables, and cross-functional collaboration to ensure accurate, timely, and high-quality responses to tender requirements.

In addition, the Specialist will coordinate with various departments to track and analyze win/loss outcomes, enhance tender responses for improved scoring, and drive process optimization. The role also calls for proactive ownership of tasks, continuous improvement initiatives, and effective coordination to strengthen the overall efficiency and competitiveness of the tendering process.

Required Skills:

  • Knowledge of MS applications.
  • Excellent time mgmt. skills
  • Excellent interpersonal and communication skills both written and verbal.
  • Should have strong time management skill and be able to work in a high demanding environment.
  • Broad background knowledge of healthcare (Medical products knowledge is a plus).
  • Should be a multi-tasker
  • Ability to co-ordinate and support the process and mgmt. from time to time.
  • Should have excellent attention to details

Responsibilities:

  • Ensure zero errors in document formatting and file uploads, and conduct detailed quality reviews for tender processes.
  • Take full ownership of moderately complex tenders from identification to submission and follow-up, providing guidance to junior team members.
  • Proactively update stakeholders, raise potential issues early, communicate clearly, and support negotiations with clients and suppliers.
  • Investigate tender-related challenges, apply past experience, and develop actionable insights to improve success rates.
  • Handle dynamic requirements, last-minute changes, and urgent clarifications effectively, adjusting strategies to meet project demands.
  • Recommend and implement enhancements in tendering SOPs and knowledge repositories, contributing to process optimization efforts.
  • Manage routine and moderately complex tender tasks with minimal supervision, delivering consistent and reliable outputs.
  • Collaborate with internal departments, suppliers, and external partners to gather information, and lead small cross-functional teams for tender execution.
  • Maintain systems up to date with tender data, ensuring data integrity, and support the development of reporting tools under guidance.
  • Lead initial investigations into tender issues, gathering data and providing analysis to senior management for resolution.
  • Maintain accurate records of submitted tenders, success rates, and performance metrics, preparing detailed reports to support decision-making.
  • Compile comprehensive tender documents and artifacts as per requirements, format them to meet organizational standards, and share with requesters.
  • Prioritize tenders based on deadlines and business value, manage parallel submissions, and allocate resources efficiently across projects.
  • Demonstrate multitasking capabilities during peak periods, support team efforts, and manage high-pressure situations with proficiency.

Work Experience:

  • 5 – 7 years relevant experience

Educational Qualification:

  • Bachelors/Master’s degree from a reputed institution
  • Any added Medical device/product certification.
