Position Overview
G Skyeagle Infra Pvt. Ltd. is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the Director. As the Executive Assistant, you will play a crucial role in facilitating effective communication, managing schedules, and handling various administrative tasks. Your ability to maintain confidentiality, prioritize tasks, and handle multiple responsibilities will be instrumental in ensuring the Director's smooth and efficient functioning.
Responsibilities
Calendar Management: Coordinate and manage the Director's calendar, including scheduling meetings, appointments, and travel arrangements.
Communication: Handle all incoming and outgoing communication on behalf of the Director, including emails, phone calls, and correspondence.
Meeting Support: Prepare meeting agendas, minutes, and relevant documents, ensuring timely distribution to attendees. Follow up on action items and deadlines.
Travel Coordination: Arrange travel logistics, including flight bookings, accommodation, and transportation, for the Director's business trips.
Confidentiality: Handle sensitive and confidential information with the utmost discretion and maintain confidentiality at all times.
Report Preparation: Assist in the preparation of reports, presentations, and data analysis for the Director's review and presentations to stakeholders.
Document Management: Maintain and organize official records, files, and documents, ensuring easy retrieval and access when required.
Relationship Management: Build and maintain strong working relationships with internal and external stakeholders, including clients, vendors, and team members.
Event Coordination: Coordinate and manage events, conferences, and workshops as per the Director's requirements.
Follow-Up: Monitor and follow up on pending tasks, ensuring timely completion and adherence to deadlines.
Prioritization: Assess the urgency and importance of tasks and prioritize them to maximize the Director's efficiency.
Research: Conduct research and provide comprehensive information on various topics to support decision-making and planning.
Administrative Support: Provide general administrative support to the Director and the leadership team as needed.
Information Management: Ensure effective information flow within the organization, keeping the Director informed of relevant updates and developments.
Continuous Improvement: Identify opportunities for process improvement and implement efficient administrative practices.
Qualifications & Requirements
Education: Bachelor's degree in Business Administration, Management, or a related field.
Experience: Proven experience as an Executive Assistant or in a similar administrative role, preferably in the civil and construction industries.
Communication Skills: Excellent verbal and written communication skills to effectively interact with internal and external stakeholders.
Organizational Skills: Strong organizational and time management skills to handle multiple tasks and deadlines.
Attention to Detail: Exceptional attention to detail to ensure accuracy in documentation and communication.
Problem-Solving Abilities: Strong problem-solving skills to address challenges and find effective solutions.
Discretion: Ability to handle sensitive and confidential information with discretion and professionalism.
