Purpose of the position:- The HR Executive / HR Officer is responsible for handling various HR functions, including documentation, time office management, payroll processing, statutory compliance, employee loan management, MIS reporting, and training & development. The role ensures that all HR operations align with company policies, legal regulations, and industry best practices.

Skills and Qualification required: - Graduate with 3 to 5 years of hands-on experience HR Generalist profile. Must have good verbal and written communication skills & working knowledge of MS. Office.

Specific experience Relevant experience as a HR Executive / HR Assistant is a must in Generalist profile.

Job Responsibilities

  • Payroll Management : Handle payroll activities of group companies, including new joinee detail entry, attendance and leave tracking, salary verification, and monthly salary slip distribution. Address leave-related queries and process leave encashment reimbursements.
  • Compliance and Documentation Management: Manage new joiners ESIC and PF registration, payroll entries, account updates, return filings, and payments for PF, ESI, and PT. Ensure compliance with legal requirements such as EPF, ESIC, Professional Tax, Labor Welfare Fund, Compulsory Vacancy Notification, Bonus Act, Gratuity, etc. Handle PF and ESI queries as needed.
  • Data Management: Maintain and update all master records across various platforms, including Excel, payroll software, and KEKA.
  • KEKA HRMS and KEKA HIRE Automation: Drive the process for automating HR activities through KEKA, managing activities from requisition to selection, offer, onboarding, and payroll handling. Implement and revise processes as required.
  • Employee Loan Management: Manage loan-related documentation, arrange for reimbursements, and coordinate deductions as needed.
  • Medical Insurance Administration: Manage Group Health Insurance for all CSIL Employees, from addition-deletion to claim settlement.
  • Probation Process Management: Oversee the probation process, including issuing of letters and related documentation.
  • Exit Formalities: Coordinate timely exit processes including separation clearance, exit interviews, asset returns, and final settlement calculations.
  • Letter Management: Issue various HR-related letters such as offer, appointments, confirmations, extension, relieving, and experiences for group companies.
  • MIS Reporting: Manage all employee files and records, and share required data with Finance. Provide comprehensive MIS details for weekly and monthly reviews with Head HR.
  • Training & Development: Prepare Training Needs Identification (TNI) and annual training calendar. Share monthly training schedules with employees. Update and maintain training records for employees.

Required Skills & Competencies

  • Strong knowledge of HR documentation and compliance.
  • Proficiency in payroll processing and HR software (Keka, Orange).
  • Familiarity with labor laws, statutory compliance, and employee benefits.
  • Excellent record-keeping and organizational skills.
  • Strong attention to detail and accuracy.
  • Good communication and employee grievance-handling abilities.
  • Ability to handle multiple HR tasks efficiently.

Qualifications & Experience

  • Bachelor’s or Master’s degree in Human Resources or a related field.
  • 3-5 years of experience in HR functions, payroll, and compliance.
  • Experience with HRMS software (Keka, Orange) is preferred.
  • Knowledge of labor laws and statutory compliance is a plus.
