As an Administrative Business Partner, you play a critical role in your team's success. You don't just manage tasks; you enable your team to focus on their core projects by proactively anticipating and resolving operational and administrative challenges. You're a strategic partner, leveraging your deep understanding of the GOC’s services to support key initiatives and events. As an Administrative Business Partner, you play a critical role in your team's success. You don't just manage tasks; you enable your team to focus on their core projects by proactively anticipating and resolving operational and administrative challenges. You're a strategic partner, leveraging your deep understanding of the GOC’s services to support key initiatives and events. Your organizational and communication skills empower you to collaborate effectively across diverse teams and functions, making an impact on your team's productivity and culture.
To be successful in this unique and rewarding role, you'll need to:
- Role model organizational skills, demonstrating exceptional accountability and ability to prioritize competing tasks.
- Demonstrate excellent judgment and discretion to support your team's projects and continuously establish trust with stakeholders across the organization.
- Uphold policies to support compliance and equity.
- Be a champion of GOC’s culture, helping to develop and cultivate excitement and productivity in the organization.
- Executive Partnership:
- Calendar and meeting coordination: Independently schedule, maintain, and update calendar events. Support onsite meeting delivery and preparation of materials.
- Expense management: Independently execute expense and budget management activities including filing expense reports and communicating policies.
- Travel management: Independently complete travel coordination tasks including booking flights and hotels in line with policies and preferences.
- Program management: With limited support, plan and organize internal events for exec's team (dinners, offsites) and manage event logistics and budget.
- Onsite Office Partnership:
- Vendor contracts. With limited support, own contract creation, review and closely monitor approval process.
- Payments. Handle vendor payments in alignment with policies and communicated practices. Help track and reconcile site expenses.
- Onsite support and logistics. For site events and meetings, proactively engage during the planning process to help resolve administrative and logistical challenges. Partner with facilities teams on identified projects. Help with event set up and break down.
- Swag. Own swag ordering and distribution process, aligning with internal teams on requirements.
- Administrative Business Partner (ABP) Community Partnership:
- Organizational alignment. Proactively work with GOC's ABP community, aligning with ABP Lead to support effectiveness and collaboration.
- Best practice sharing: Continuously learn and communicate best practices related to systems and ways of operating.
- Continuity: Provide support to other executives and sites when needed to ensure business continuity support.
Minimum Qualifications
- Bachelor's degree or equivalent practical experience.
- 4-8 years of direct executive support, administrative operations management, or non-technical project management, with experience managing core administrative tasks (e.g., travel management, expense reports, calendar management, facilities coordination, event and meeting planning, etc).
- Excellent collaboration and communication skills, with demonstrated ability to work effectively with teammates across a range of organizational levels and locations.
- Exemplary organizational skills and attention to detail, with demonstrated ability to drive impact in a fast-paced, cross-functional environment.
- Ability to flex hours when needed to be available for meetings or events outside standard business hours.

- Exemplary project management skills, with demonstrated ability to track multiple projects and deadlines, prioritize tasks for self and others, and manage time effectively.
- Ability to take initiative, proactively breaking down projects into smaller tasks, and completing them with independence.
- Demonstrated ability to be flexible and adaptable, handling changes in work environments and being willing to take on new tasks and responsibilities.
- Experience planning events, including managing contracts and payments, and working with vendors and external suppliers to deliver fun and creative experiences.
