Job Overview

To ensure systematic receipt, storage, preservation, inventory control, transportation, documentation, reconciliation, and timely availability of chemicals, consumables, spare parts, tools, PPE, and maintenance materials required for uninterrupted operation and maintenance of ETP, STP, RO, EDI, ZLD, UPW, and utility facilities.

The role shall be responsible for warehouse operations, procurement coordination, logistics management, gate pass control, inventory accuracy, material traceability, and statutory documentation while ensuring optimum stock levels and minimizing material losses.

Responsible for overall warehouse management and material custody

Ensure Proper Storage And Preservation Of

Chemicals : Sulfuric Acid / Hydrochloric Acid / Caustic Soda / Sodium Hypochlorite / Ferric Chloride / Alum / PAC / Polymers / Antiscalants / CIP Chemicals

Mechanical Spares : Pumps / Mechanical seals / Bearings / Valves / Couplings / Gaskets / Motors

Electrical & Instrumentation Spares : Sensors / Flowmeters / PLC modules / VFD components / Relays / Contactors / Cables

Consumables : Cartridges / Filters / Lubricants / Fasteners / Gaskets

Safety Materials : PPE / Fire extinguishers / Spill kits / Safety harnesses

Ensure : Proper segregation / Identification and tagging / FIFO and FEFO implementation / Shelf life monitoring / Proper stacking and housekeeping / Preservation of critical equipment

• Material Receipt & Inspection
  
  

Coordinate and verify – Documents : Purchase Order / Delivery Challan / Invoice / Packing List / Test Certificates / Warranty Documents

Inspect : Quantity received / Physical condition / Material specifications / Damages during transportation

Prepare : Goods Receipt Note (GRN) / Material Receiving Report, Coordinate discrepancies with procurement and vendors

• Inventory Control & Stock Management
  
  

Maintain: Minimum stock level / Reorder level / Safety stock / Maximum stock level

Monitor: Fast moving items / Slow moving inventory / Dead stock / Obsolete material

Maintain Registers: Inventory register / Chemical stock register / Spare inventory register / Consumable register

Ensure: Zero stock-out of critical items

• Material Issue & Consumption Tracking
  
  

Issue materials against: Material Requisition Slip (MRS) / Approved work orders / Maintenance schedules

Maintain: Material Issue Register / Returnable Material Register / Tool Issue Register

Track: Daily consumption / Monthly consumption / Site-wise usage / Department-wise utilization

Generate: Consumption reports / Material utilization reports

• Procurement Coordination
  
  

Coordinate procurement of: Chemicals / Spares / Consumables / Tools / PPE / Emergency Materials

Prepare: Purchase requisitions / Technical descriptions / Material specifications

Follow-up for: Pending purchase orders / Delivery schedules / Vendor commitments

Support: Vendor evaluation / Material inspection / Technical approvals

• Transportation & Logistics Management
  
  

Coordinate transportation between: Warehouse to Site / Vendor to Site / Site to Repair Agencies / Site to Central Store

Arrange: Vehicles / Transport permits / Packing and dispatch

Maintain: Dispatch register / Transportation records / Vehicle details / Courier records

Track: Delivery status / Transit damages / Returnable packing materials

Ensure: Timely delivery of emergency materials

• Gate Entry & Gate Pass Management
  
  

Prepare and maintain: Inward Gate Pass / Outward Gate Pass / Returnable Gate Pass / Scrap Disposal Gate Pass

Coordinate with client security for: Vehicle entry / Material entry approval / Material exit approval

Maintain records for: Gate entry challans / Vehicle logs / Driver details / Material movement records

Ensure: Compliance with client gate pass procedures

• Material Reconciliation & Stock Audit
  
  

Carry out: Daily Reconciliation / Weekly Reconciliation / Monthly Reconciliation

Verify: Physical stock / ERP stock / Book stock

Prepare: Stock variance reports / Material balance statements

Investigate: Excess stock / Shortages / Damages / Pilferage

Support: Internal audits / Client audits / ISO audits

• Tool, Tackle & Asset Management
  
  

Maintain inventory of : Power Tools / Maintenance Tools / Testing Instruments / Lifting Tools / Measuring Equipment

Track : Tool issuance / Return status / Calibration due dates / Equipment condition

Maintain : Tool history register / Calibration records

• Scrap Management
  
  

Maintain records of : Scrap material / Damaged equipment / Used cartridges / Used membranes / Hazardous waste containers / Empty chemical drums

Coordinate : Segregation / Disposal approvals / Disposal records / Maintain traceability

• Documentation & Record Keeping
  
  

Maintain : GRN Register / Material Issue Register / Material Return Register / Stock Register / Asset Register / Chemical Register / Spare Register / Transportation Register / Gate Pass Register / Vendor Register / Tool Register / Calibration Register

Ensure all records are audit-ready

• ERP / SAP & MIS Management
  
  

Update : Material receipts / Material issues / Stock transfers / Consumption records

Prepare : Daily stock reports / Monthly inventory reports / Critical spares reports / Consumption analysis / Pending PO reports

Knowledge of : SAP / ERP Software / MS Excel / Inventory Software

• Housekeeping & Safety Compliance
  
  

Ensure : Proper housekeeping in warehouse / Chemical segregation / Spill control / Safe stacking practices / MSDS availability

Maintain : Fire extinguishers / Emergency exits / Safety signs / Spill kits

Follow : EHS procedures / Chemical handling procedures

• Support During Shutdown & Emergency Maintenance
  
  

Arrange emergency supply of : Chemicals / Pumps / Bearings / Mechanical seals / Instruments / Cables / PPE

Coordinate with : Vendors / Transporters / Repair agencies

Ensure : Minimum downtime

Requirements

Qualification: Essential: Diploma / ITI / Graduate / Preferred: Diploma in Materials Management / Diploma in Supply Chain Management / Store & Inventory Management Certification

Experience: Role: Store Executive / 3–8 Years

Preferred Industry Experience: Water & Wastewater Treatment / Utility Operations / Semiconductor / Pharmaceutical / Chemical Plants / EPC & O&M Projects

Technical Competencies

Inventory Management : FIFO / FEFO / Stock reconciliation / Material coding (if required) / Preservation techniques

Industrial Materials – Knowledge of : ETP/STP chemicals / RO consumables / Membranes / Pumps and spares / Electrical items / Instrumentation items
