Job Description
Required Qualification:
Bachelor’s degree in Business Administration, Health Informatics, Information Technology, or a related field; a diploma or equivalent experience in project coordination/administration will also be considered.
Possess 0–2 years of experience in a project coordination, project support, or administrative role, preferably in healthcare IT or related project environments.
Basic understanding of project management processes, including maintaining schedules, updating trackers, logging risks/issues, and preparing meeting documentation.
Proficiency with common productivity tools such as Microsoft Excel, PowerPoint, Word, and exposure to project management tools (e.g., MS Project, Clarity, Smartsheet, or SharePoint) is preferred.
Strong organizational and time management skills, with the ability to manage multiple tasks and follow up on action items effectively.
Good communication and interpersonal skills to prepare meeting notes, status updates, and collaborate with project managers, functional leads, and on-site staff.
Detail-oriented with an ability to ensure accuracy in project logs, dashboards, and documentation.
Flexible and proactive, with a willingness to learn and adapt to project management standards, templates, and governance guidelines.
Responsibilities
Maintain project documentation and keep project plans, schedules, trackers, and status logs up to date, ensuring accuracy and accessibility for the project team and stakeholders.
Support risk and issue management, log risks, issues, dependencies, and actions as identified by the project team, track their status, and follow up on updates until closure.
Facilitate communication by preparing and circulating meeting notes, status updates, and project communications to ensure stakeholders remain informed of progress and upcoming activities.
Coordinate project activities by assisting/organizing project meetings, workshops, and training sessions; schedule resources; and ensure action items are captured and monitored.
Track project progress, support project managers by monitoring milestones, deliverables, and dependencies, flagging variances or delays for discussion.
Assist in reporting to prepare basic project dashboards, trackers, and summaries for review by the project manager and leadership.
Collaborate with the site project team, work closely with on-site staff, functional leads, and project managers to support daily project execution and resolve coordination challenges.
Ensure compliance with project standards and follow established project management processes, templates, and governance guidelines consistently.
