Professional Services is made up of Project Coordinators & Managers, Change Request Managers, Solution Architects, and Solution Consultants. We deliver customer implementation projects and provide continuous services that empower Basware customers to adopt, optimize, and accelerate the benefits of their Basware solutions and services. We work directly with our clients or through our network of implementation partners to ensure that every solution is delivered on time, within budget, and to the highest quality standards. Our implementation methodology is based on best practices that have been refined over years of experience.

The Professional Services Team is looking for a self-motivated and committed Project Coordinator for our office in Chandigarh, to execute Basware software solutions, services projects, and change requests according to agreed scope, time, cost and expected quality.

You will be part of a growing, high-performing delivery team that is focused on achieving true success for our customers while delivering an excellent customer experience. In this role, as Project Coordinator, your responsibilities include:

  • Executing the projects and change requests according to the agreed scope, baselines, costs, and expected quality, following Basware's PMI-based implementation model.
  • Project Planning and Scoping: Develop and scope project plans to meet business outcomes and objectives. Identify project scope, objectives, deliverables, and timelines.
  • Resource Management: Plan and manage resources effectively, including regional and global teams. Allocate resources efficiently to meet project requirements.
  • Communication and Stakeholder Management: Maintain open communication channels with stakeholders, both internal and external. Manage relationships with key business and project stakeholders. Provide regular updates and reports on project progress.
  • Risk Management: Identify and mitigate project risks. Maintain risk registers and develop risk mitigation strategies.
  • Change Request Management: Lead change request implementations and manage a portfolio of active change requests. Manage the change component of projects (during implementation and post-implementation), ensuring smooth transitions and minimal disruption.
  • Project Execution and Delivery: Lead and motivate project teams to deliver projects on time and within budget. Manage multiple software delivery projects simultaneously. Ensure adherence to project timelines and quality standards.
  • Documentation and Reporting: Maintain project documentation, including project plans, status reports, and change requests. Provide regular status updates and reports to project stakeholders.
  • Compliance and Governance: Ensure compliance with project management methodologies and processes. Adhere to compliance as per defined Audit policies
  • Customer Relationship Management: Build successful customer relationships. Lead customer delivery projects from start to end, ensuring customer satisfaction.
  • Budget Management: Manage project budgets effectively, ensuring optimal utilization of resources. Monitor project expenses and track budget allocations.
  • Cross-functional Collaboration: Collaborate with cross-functional teams to achieve project objectives. Foster a collaborative and inclusive work environment.

Skills and requirements:

  • Project Management Skills:
    • Proficient in planning, scoping, estimating, and executing projects.
    • Ability to effectively estimate time and resources required for project activities.
    • Measures project progress and adjusts plans to ensure timely delivery within budget and scope.
    • Management of change components and risk registers.
    • Capability to lead changes during project implementation or post- implementations and manage a portfolio of active change requests.
    • Experience in leading customer delivery projects from start to end.
    • Tracking critical tasks and providing regular status reports.
    • Ability to manage multiple software delivery projects simultaneously.
  • Communication and Presentation Skills:
    • Excellent written and verbal communication skills in English and local language.
    • Capable of conducting presentations and facilitating workshops.
    • Strong documentation skills in PowerPoint, Excel, and Word.
    • Development and management of relationships with key business and project stakeholders.
  • Conflict Resolution and Negotiation:
    • Ability to resolve conflicts and negotiate effectively.
    • Experience in customer relationship management and building strong relationships.
  • Resource Planning and Management:
    • Experience in resourcing planning and management, including regional and global teams.
    • Proficient in time and task management in an independent environment.
  • Process and Systems Knowledge:
    • Familiarity with project management methodologies such as Scrum, Agile, Waterfall, and Hybrid.
    • Understanding of Change Request Management Process.
  • Customer Delivery Experience:
    • Experience in delivering change requests or projects for external customers.
    • Proven track record of building successful customer relationships.
Good-to-Have:

  • Experience with ERP Systems / Basware Solutions:
    • Knowledge of ERP systems such as SAP, Oracle Financials, NetSuite, and Microsoft Dynamics.
    • General knowledge of enterprise applications and financial supply chain processes.
    • Understanding of Basware Solution Portfolio.
  • Project management certification such as CAPM, PMP, or PRINCE-2.
  • Experience working in a global matrix organization with geographically distributed teams.
  • Understanding of Planview PPM Tool.
Experience:

  • 3 years of working experience in supporting project deliveries (Software development/implementation).

Education: Minimum of bachelor’s degree in computer science or related concentration in computer programming/technology.
