Programme and Operations Manager


Location: 2 positions available, 1 post in Jaipur / 1 post in Jodhpur (both positions will require frequent travel between Jaipur and Jodhpur and across Rajasthan)


Working Pattern: Full Time - 6 days per week with the 2nd and 4th Saturday off each month

As the Public Arts Trust of India grows, and our international partnerships develop, we are looking to recruit two Programme and Operations Managers to oversee our teams in Jaipur and Jodhpur, and work collaboratively with our Director, Emma Sumner, and Founding Chairwoman, Sana Rezwan.

This is a unique opportunity to work in a highly creative environment while honing your project and stakeholder management skills, both essential attributes for most high-level roles in the arts. The ideal candidate will be experienced in handling a wide range of administrative, executive support and curatorial experience with at least 3-years of management level work experience in a related role.

Overseeing the day-to-day operations, liaising with artists, collaborators, community partners, government bodies and ensuring the successful implementation of the Trust’s creative initiatives, candidates must be well organised with an acute attention to detail, self-motivated and resourceful with excellent written and verbal communication skills and a positive approach to teamwork and collaboration.

RESPONSIBILITIES:


Team and Operational Management:

  • Manage team of Ambassadors, Junior Coordinators, Assistant Curators, coordinating staff reviews and feedback for volunteers and managing staff records accordingly.
  • Manage day-to-day tasks, such as scheduling meetings, handling logistics, budgets and updating project statuses, reporting regularly on progress during team meetings
  • Ensure compliance with legal and regulatory requirements are maintained for PATI’s operations in collaboration with HR and Finance consultants




Corporate Social Responsibility / Stakeholder Management:

  • Research potential donors ( individuals, organisations, trusts, and foundations) and develop outreach plans that demonstrate appreciation and engagement with identified prospects whose vision, mission and aims align with PATI’s or our specific projects / initiatives.
  • Support the writing of funding applications and manage internal and external compliance and processes for any grants received to ensure that all supporters are credited effectively
  • Coordinate donor correspondence including acknowledgement letters, project progress and closing reporting and thank you letters. Research, compile, assimilate, proofread, and edit correspondence, documents, and reports as needed.

PATI Events / Exhibitions:

  • Collaborate with the team to organise events, exhibitions, and outreach programmes to promote PATI’s initiatives and disseminate our mission within the communities we work
  • Oversee all project budgets, timelines, and administrative processes with the relevant team members and provide regular reports on this
  • Coordinate with artists, curators, government bodies, institutional partners, supporters, and local communities to ensure the smooth execution of any event or exhibition, while overseeing the team . Support with the planning and delivery of PATI events and exhibition programmes
  • Coordinates with internal and external collaborators, vendors and/or consultants as needed to support the smooth running of all PATI’s events
  • Represent the Trust at public events and meetings when required.

Assistant to the Director / Founding Chairwoman:

  • Provide research and administration support and coordination for the Director / Founding Chairwoman, including but not limited to: scheduling and coordinating meetings, itineraries and travel.
  • Manage PATI’s central data filing structure and ensure that all data is stored appropriately and backed up.
  • Support the Director with financial administration support, checking invoices meet requirements before they are processed and checking incoming reports against budgets

PERSON SPECIFICATION:

Essential:

  • A degree in art, cultural management, or a relevant subject or equivalent work experience
  • At least 3 years of relevant work experience at management level
  • Knowledge of the Indian contemporary art landscape with a strong interest in public art, cultural development, and community engagement.
  • Proficiency in Microsoft Office, project management software, and budget tracking tools
  • Strong attention to detail and accuracy along with excellent interpersonal skills
  • An organised and detailed approach, the ability to self-direct and anticipate the organisation’s needs
  • The ability to manage multiple tasks and meet demanding deadlines
  • Excellent communication and collaboration skills
  • Shared values with the core aims of the Public Arts Trust of India
  • A friendly, good-humoured, and flexible approach to work




Desirable:

  • Experience in developing and delivering funding applications
  • A knowledge of basic HR management processes
  • Experience of designing in-house marketing materials using packages such as Adobe Illustrator and In Design
  • An understanding of database management and data collection
  • A knowledge of Data Protection Policies
