Procurement Assistant will support the procurement process by assisting in sourcing and purchasing materials, managing vendor relationships, and ensuring timely delivery of goods and services required for the company’s operations

Procurement Assistant will support the procurement process by assisting in sourcing and purchasing materials, managing vendor relationships, and ensuring timely delivery of goods and services required for the company’s operations
Roles And Responsibilities
- Purchase Order Support & Data Accuracy
- Create, update, and process purchase orders based on approved requisitions and instructions from the Procurement Coordinator.
- Ensure accuracy in product details, pricing, delivery dates, and quantities before PO issuance.
- Maintain organized procurement records and documentation for audit and tracking purposes.
- Perform timely and accurate data entry into procurement systems and ERP platforms.
- Supplier Communication & Coordination
- Coordinate with suppliers for order confirmations, shipment tracking, and delivery follow-ups.
- Request and collect necessary supplier documents (e.g., invoices, packing lists, compliance certificates).
- Assist in monitoring supplier performance metrics and escalate issues to the Procurement Coordinator.
- Inventory Monitoring & Delivery Follow-Up
- Track incoming deliveries and coordinate with warehouse/production teams on receiving schedules.
- Update delivery timelines and expected arrivals in tracking systems.
- Alert the Procurement Coordinator to any potential stock shortages, delays, or overstock situations.
- Mismatch Identification & Reporting
- Verify product specifications and prices against purchase orders and supplier documentation.
- Identify and flag any mismatches or discrepancies in specifications, pricing, or documentation.
- Communicate clearly with Data and Technical teams under the guidance of the Procurement Coordinator for resolution.
- Administrative & Reporting Support
- Assist in the preparation of procurement reports and summaries as required.
- Maintain procurement files and support documentation for internal reporting and audits.
- Contribute to improving procurement workflows and documentation practices.
- Will have a Competitive Salary (depending on experience, negotiable).
- Desirable Working Hours: Monday to Friday, 10:00 AM - 7:00 PM, 5:00 PM – 2:00 AM with a one-hour lunch / dinner break.
- Annual Leave: As per labor laws.

- 1-3 years of experience in procurement, purchasing, or supply chain management.
- Strong communication skills, both written and verbal.
- Basic understanding of procurement processes, vendor management, and supply chain functions.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Excellent attention to detail and solid organizational skills.
- Ability to multitask, prioritize, and work in a fast-paced environment.
