Time Office Management

  • Daily working and monitoring on attendance records, leaves, absences and overtime of Staff, Contract Staff and Contract Workers.
  • Manage time office Hardware and Software Systems i.e. ESSL, Savior, Time Watch etc. and ensure accurate data entry with its records.
  • Track and record individual employees time office records including Staff, Contract Staff and Workers.
  • Monitor time office system to ensure proper reporting and approval of time office related requests and Coordinate with department/Section heads to resolve within the timeline.
  • Address any discrepancies in attendance and time records and work to resolve them in a timely manner.
  • Generate regular reports on attendance, absenteeism, overtime, leave and timekeeping trends including attrition records with the database.

Payroll Management

  • Process monthly payroll for all employees including Contract employees and ensuring the accurate calculation of salary components including overtime, bonuses and other deductions as per the salary provisions.
  • Manage Payroll Hardware and Software Systems i.e. Infionic, Keka etc. and ensure accurate data entry with its records.
  • Ensure timely and accurate disbursement of payroll through available payroll software and in Excel, including tax deductions, provident fund, ESIC, Welfare, Mediclaim and other statutory compliances.
  • Maintain records of payroll related transactions and reports.
  • Coordinate with the finance & accounts department for salary transfer, tax filings and related statutory compliances connect with labour laws.
  • Address employee inquiries regarding payroll issues, such as salary discrepancies, benefits, and deductions.
  • Ensure compliance with statutory deductions such as EPF, ESIC, PT, Welfare, Income tax, and other applicable benefits.
  • Maintain strict confidentiality of employee payroll and personal related data.
  • Prepare and submit monthly/annual reports or as and when required basis to the reporting Officer and to the relevant authorities.

Compliances Management

  • Stay updated on current Labour Laws that are connected to employment and its compliances.
  • Ensure all payroll related processes comply with relevant labour laws, tax regulations and company policies.
  • Generate and file statutory and internal reports, including but not limited to EPF, ESI, PT, LWF, applicable taxes etc.
  • Generate monthly data need to compilation for various statutory returns including but not limited to annual returns in Form-27, Form-21, Form-C, Form-D, Form-A, Consolidated Return and ER-1, RC, Half Yearly Return etc.

Documentation, Correspondence & Record Management

  • Maintain accurate records of employee master and personal file.
  • Maintain accurate attendance and payroll report.
  • Assist in various audits by providing necessary departmental documents.
  • Documentation as per the requirement of QMS.
  • To co-ordinate with HR Team and Account Team to manage smooth accounting records of employees.
  • Correspondence with EPFO, ESIC, Banks, Labour Welfare Board etc.
  • Co-ordinate for Internal and External Audit (Cost/ Statutory/ Secretarial/ Govt. Inspection)
  • Management of Access Control System.
  • Timely complete of all assigned work/task.
