Key Responsibilities
- Greeting visitors: Welcome visitors and clients warmly, direct them to appropriate personnel, and ensure a positive first impression.
- Answering calls: Manage and screen incoming calls, transfer them to relevant departments, and handle inquiries or direct them to suitable resources.
- Managing reception area: Maintain a clean and organized front desk area, ensuring it reflects the company's professional image.
- Working on mail and package handling: Sort and distribute incoming mail, receive and dispatch packages, and notify recipients promptly.
- Scheduling appointments: Manage appointment schedules, conference room bookings, and maintain a calendar for meetings and events.
- Providing administrative support: Assist with data entry, document filing, ordering supplies, and other clerical duties as needed.
- Working on visitor management: Maintain visitor logs, issue visitor badges, and ensure adherence to security protocols.
- Providing customer service: Respond to general inquiries via phone, email, or in-person, providing accurate information about company services.
- Assisting staff: Support team members and management with ad-hoc administrative tasks, including document preparation and handling basic inquiries.
