Title - Executive Assistant
Annual CTC - 3.5lpa- 6.5lpa
Expected Experience - 2 to 4 years
Location - Punjab (Preferably Chandigarh)/ Remote
About the Role:
We are seeking a highly organized, proactive Executive Assistant to support our CEO in day-to-day operations and strategic initiatives. This role also includes administrative responsibilities to ensure smooth functioning of the office and coordination across departments.
Key Responsibilities
Executive Support and Communications
- Calendar Management: Masterfully manage the CEO's complex and dynamic calendar, prioritizing appointments, resolving scheduling conflicts, and ensuring the CEO is on schedule and prepared for all engagements.
- Communication Hub: Act as the primary gatekeeper and liaison for the CEO, screening and prioritizing all incoming communications (calls, emails, correspondence) and drafting professional responses on the CEO's behalf when appropriate.
- Meeting Support: Prepare agendas, presentations, and briefing materials for the CEO’s meetings (internal, external, and Board-level). Attend meetings to take detailed minutes, track action items, and ensure timely follow-up.
- Travel Coordination: Arrange detailed domestic and international travel logistics, including flights, accommodations, ground transportation, and comprehensive itineraries. Prepare and reconcile expense reports.
- Special Projects: Independently manage and execute special projects or research assignments as directed by the CEO, providing high-level administrative and project management support.
Organization Administration & Office Operations
- Facilities & Vendors: Coordinate with building management, IT support, and external vendors (e.g., maintenance, security, supplies) to manage services and resolve operational issues promptly.
- Resource Management: Manage inventory of office supplies, equipment, and kitchen stock, handling all procurement and managing associated budgets.
- Filing & Records: Maintain and organize secure electronic and physical filing systems for critical company documents, confidential personnel files, and corporate records.
- Event Support: Assist with the planning, logistics, and execution of company events, staff meetings, and executive retreats.
Preferred Qualifications
- Bachelor's degree in Business Administration or a related field (or equivalent professional experience).
- Minimum of 1 years of experience providing executive-level support to leadership.
- Proven experience in managing an office or coordinating organization-wide administration.
