Role Summary

The executive Assistant (EA) provides high-level administrative support to senior executives, enabling them to focus on strategic priorities by handling day-to-day operational task. This role involves managing calendars, scheduling meetings, coordinating travel, preparing reports and presentations, handling confidential information and acting as a liaison between the executive and internal/external stakeholders. The ideal candidate is proactive, highly organized, detailed -oriented and possess strong communication and problem-solving skills.

Core Duties/Responsibilities

  • Daily diary management
  • Arranging meetings and conference calls, draft and circulate agendas if appropriate, welcome visitors etc.
  • Coordination of Executive Committee meetings including venue, IT requirements, attendee management, presentation coordination, agendas, pack preparation and distribution
  • Taking, producing and circulating meeting minutes
  • Arranging travel and accommodation and processing expenses
  • Producing and processing purchase orders
  • Assisting with new employee starter administration
  • Answering the telephone, screening calls and taking accurate messages
  • Co-ordinating exam/ course bookings
  • Working as part of a broader team of assistants who support the Executive Management in Equiniti
  • General office management tasks when required

Skills, Capabilities And Attributes

  • Previous experience in a PA role, preferably Board level
  • In-depth experience in collating Board papers, PDF writer and/or a Board admin platform
  • Exceptional time management/organisational skills with the ability to multitask
  • Polished written and verbal communication skills
  • The ability to identify needs and go one step ahead
  • Able to contribute as part of a team, as well as autonomously as required
  • A level of confidence that will enable you to communicate with senior stakeholders
  • An approachable and professional nature
  • Service minded, with a focus on ensuring the highest level of support is offered to your designated stakeholders
  • Strong problem-solving ability, and be able to identify potential issues and propose solutions
  • Strong working knowledge of MS Outlook, Word and Excel
  • A ‘can do’ attitude
  • Approachable, friendly and warm character
