This job is provided by apna.co We are seeking a highly organized, proactive, and professional Executive Assistant to support our executive leadership. The Executive Assistant will manage day-to-day administrative tasks, streamline operations, and ensure the executive's time is efficiently utilized. The ideal candidate is a strong communicator, problem-solver, and discreet professional who thrives in a fast-paced environment.
Key Responsibilities:Calendar & Schedule Management:
Coordinate and manage the executive’s calendar, including scheduling meetings, appointments, and travel.
Ensure timely reminders and conflict-free scheduling.
Communication & Correspondence
Draft, review, and manage emails, letters, reports, and other documents on behalf of the executive.
Serve as a point of contact between the executive and internal/external stakeholders.
Meeting Support
Prepare meeting agendas, take detailed minutes, and follow up on action items.
Organize and coordinate executive meetings, conferences, and events.
Travel & Logistics
Arrange domestic and international travel, including flights, accommodations, itineraries, and transportation.
Process travel expenses and reimbursement reports.
Confidentiality & Discretion
Handle sensitive information with integrity and confidentiality.
Act as a gatekeeper and ensure appropriate prioritization of requests.
Administrative Support
Maintain files, records, and documentation in an organized and accessible manner.
Manage office supplies and assist in budget tracking or reporting when needed.
Qualifications:Proven experience as an executive assistant or similar role (typically 3–5+ years).
Excellent verbal and written communication skills.
Strong organizational and time management skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
Ability to multitask, prioritize effectively, and meet deadlines.
High level of discretion, professionalism, and attention to detail.
Bachelor’s Degree Preferred, But Not Always Required.
Working Conditions:Full-time position.
May require occasional overtime or availability outside of standard business hours.
Hybrid or on-site depending on company policy.
