A Back Office Executive plays a crucial role in supporting the day-to-day operations of an organization by handling administrative tasks and ensuring smooth business operations. Key Responsibilities:

  • Data Entry and Management:
    • Accurately input data into company systems and databases.
    • Maintain and update records, ensuring that all information is current and correct.
    • Process forms, documents, and other data efficiently to ensure smooth business operations.
  • Document Handling and Processing:
    • Manage and organize incoming and outgoing documents, ensuring that they are filed and archived appropriately.
    • Assist in processing paperwork for clients, vendors, and internal stakeholders.
    • Verify documents for accuracy and completeness, and escalate discrepancies as needed.
  • Communication and Coordination:
    • Assist with internal communication between departments, ensuring that information is exchanged effectively and accurately.
    • Handle phone calls, emails, and inquiries, ensuring prompt responses and follow-up.
    • Coordinate meetings and appointments for managers or teams, ensuring proper scheduling and logistics.
  • Reporting and Data Analysis:
    • Assist in preparing regular reports, spreadsheets, and summaries.
    • Help track performance metrics and assist with basic data analysis to support decision-making processes.
    • Compile and organize data to present in various formats for reporting purposes.
  • Inventory and Supply Management:
    • Monitor office supplies and assist in maintaining inventory levels.
    • Place orders for supplies when required and coordinate delivery.
  • Customer Support:
    • Occasionally, assist with customer service tasks, ensuring smooth interactions with clients via phone or email.
    • Help resolve simple issues or forward complex issues to relevant departments.
  • General Administrative Support:
    • Assist other team members and departments with administrative tasks as needed.
    • Ensure all office equipment is functioning and raise repair requests when necessary.
    • Provide basic IT troubleshooting or liaise with the IT department for more complex issues.


Required Skills & Qualifications:

  • Educational Qualifications: A minimum of a high school diploma or equivalent. A Bachelor's degree in Business Administration, Management, or any related field is preferred but not mandatory.
  • Technical Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
    • Basic knowledge of office equipment like printers, scanners, and fax machines.
  • Soft Skills:
    • Excellent verbal and written communication skills.
    • Strong attention to detail and ability to work with accuracy.
    • Ability to multitask and prioritize workload effectively.
    • Good problem-solving abilities and a proactive attitude.
  • Experience: Freshers are welcome to apply; no prior experience is necessary. However, internships or any administrative experience would be a plus.
