Job Description for Admin and Soft Services Assistance Manager:

Job Title: Admin and Soft Services Assistance Manager

Reports to: Facilities Manager or Operations Manager

Key Responsibilities:

Admin:

  • Manage day-to-day administrative tasks, such as email, phone, and mail.
  • Maintain accurate records, files, and databases.
  • Coordinate travel arrangements, meetings, and appointments.
  • Prepare and edit documents, reports, and presentations.
  • Manage office supplies and inventory.

Soft Services:

  • Oversee soft services, including housekeeping, catering, and reception.
  • Ensure high-quality service delivery and customer satisfaction.
  • Manage vendor contracts and relationships.
  • Coordinate events, meetings, and conferences.
  • Maintain a clean, safe, and healthy work environment.

Assistance:

  • Provide support to the facilities team, including maintenance and repairs.
  • Assist with budgeting, forecasting, and financial management.
  • Coordinate with other departments, such as HR and IT.
  • Develop and implement process improvements.
  • Provide exceptional customer service to employees and visitors.

Requirements:

  • 2-3 years of experience in administration, facilities, or a related field.
  • Strong communication, organizational, and problem-solving skills.
  • Ability to multitask, prioritize, and manage multiple projects.
  • Proficient in MS Office, Google Suite, or similar software.
  • High school diploma or equivalent required; degree preferred.
