Position Overview

The Admin Manager will oversee all aspects of office administration, vendor management, guest house management, travel coordination, and site office administration. This role is essential for maintaining efficient operations and ensuring a productive workplace.

Key Responsibilities

Office Administration

  • Managing Consumables: Oversee the procurement, usage, and inventory of office consumables to ensure efficiency and cost-effectiveness.
  • Office Maintenance: Ensure the upkeep and maintenance of office premises, including regular inspections and repairs.
  • Cleaning and Training Schedule: Develop and manage a schedule for cleaning and staff training to maintain a high standard of office hygiene and efficiency.
  • Asset Inventory Management: Maintain an accurate inventory of all office assets, ensuring proper tracking and management.
  • Visitor Meal Arrangements: Coordinate meal arrangements for visitors, ensuring a hospitable experience.

Vendor Management

  • Quotations and Contracts: Manage vendor relationships by obtaining quotations, negotiating contracts, and ensuring compliance with agreements.
  • Service Management: Oversee vendors for various services including: Guest House Management
  • Consumable Management: Oversee consumables in the guest house, ensuring adequate supplies for guests.
  • Room Allotment and Maintenance: Manage room allotments and ensure cleanliness and maintenance of guest accommodations.

Travel and Accommodation

  • Hotel Booking: Book hotels and arrange accommodations for staff travel as required.
  • Transportation Arrangements: Organize transportation for staff, ensuring timely and efficient travel.
  • Ticket Booking: Manage flight and train ticket bookings for employees.
  • Reimbursement Processing: Process travel reimbursements based on eligibility for both city and outstation trips.

Site Office Administration

  • GRE Coordination: Shortlist General Resource Executives (GRE) and coordinate with the Cluster Head for site office needs.
  • Site Office Maintenance: Ensure the upkeep and maintenance of the site office, managing consumables effectively.

Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 5+ years of experience in administrative management or a related field.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficient in MS Office Suite and familiar with office management software
