Job Overview

As an Admin Executive, you will be responsible for providing comprehensive administrative and client support to ensure the efficient operation of the office and client satisfaction. You will support managers and employees through a variety of tasks related to organization, communication, and client service. The ideal candidate will be well-organized, detail-oriented, and able to handle multiple tasks simultaneously.

Openings for Surat and Ahmedabad locations.

Key Responsibilities

  • Provide professional and efficient chat support to US clients, addressing their inquiries, concerns, and requests in a timely and accurate manner.
  • Troubleshoot and resolve client issues, escalating complex problems to higher levels of support when necessary.
  • Develop a deep understanding of our services and policies to provide accurate information and guidance to clients.
  • Collaborate with team members and other departments to resolve client issues and share valuable feedback.
  • Oversee and maintain office operations, ensuring smooth running of day-to-day activities.
  • Manage office supplies inventory and place orders when necessary.
  • Organize and schedule meetings and appointments.
  • Prepare and modify documents including reports, emails, and other correspondence.
  • Serve as the point of contact between the operations department and clients.
  • Maintain and update filing systems, both electronic and physical.
  • Ensure accuracy and completeness of data in various databases and spreadsheets.
  • Coordinate travel arrangements and accommodations for employees.
  • Assist in planning company events, meetings, and team-building activities, managing logistics such as venue booking, catering, and transportation.
  • Communicate with US clients via email and attend US client meetings for data management and task understanding.

Qualifications

  • Proven experience as an administrative assistant, virtual assistant, or office admin assistant.
  • Knowledge of office management systems and procedures.
  • Proficiency in MS Office, especially advanced MS Excel and MS Word, and Power BI will be a plus.
  • Excellent time management skills with the ability to multitask and prioritize work effectively.
  • Strong attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Discretion and confidentiality in handling sensitive information.
