We are seeking a proactive and highly organized Office Assistant to join our team. As an Office Assistant, you will play a vital role in ensuring the smooth and efficient daily operations of our office environment. This position is available on both a full-time and part-time basis, offering flexible scheduling options.
Key Responsibilities:
- Administrative Support: Provide general administrative support to office staff and management. This includes handling phone calls, emails, and scheduling meetings or appointments. You will be expected to maintain calendars, coordinate events, and assist with office correspondence.
- Data Entry and Record Keeping: Ensure accurate data entry and maintain organized filing systems (both physical and digital) for documents, records, and information. This may include handling invoices, receipts, and other office-related documents.
- Office Organization and Maintenance: Keep the office space neat and orderly by maintaining supplies, equipment, and organizing common areas. You will be responsible for ordering office supplies and ensuring that items are well-stocked for the team. You may also be tasked with overseeing office cleanliness and liaising with cleaning or maintenance personnel.
- Customer Service: Act as the first point of contact for visitors, clients, and vendors. Greet them warmly, provide necessary information, and direct them to the appropriate personnel. You will also manage incoming calls and emails in a courteous and professional manner.
- Support with Meetings and Events: Assist in organizing meetings, including scheduling, setting up conference rooms, preparing materials, and coordinating logistics. You may also be involved in the planning and execution of office events, conferences, or company gatherings.
- Communication and Coordination: Maintain effective communication with all departments to ensure tasks and projects are completed in a timely manner. Help facilitate collaboration between team members by providing necessary information and ensuring smooth workflow.
- Task Management: Provide assistance with various ad hoc administrative tasks as requested by management, including preparing reports, conducting research, and assisting with special projects.
- Confidentiality and Security: Ensure that sensitive company information is handled with discretion and confidentiality. Safeguard office security by adhering to procedures for access control and other safety protocols.
- High school diploma or equivalent; a college degree is a plus.
- Proven experience as an office assistant, administrative assistant, or in a similar role.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- Professional demeanor and strong customer service orientation.
