In this role, you will take ownership of Stolt-Nielsen’s global Travel & Expense (T&E) program, transforming the recently implemented Navan platform into a mature, actively managed global solution. You will be responsible for turning broad objectives into a practical roadmap, setting clear priorities and targets, and driving actions across a global organization. Your work will focus on strengthening control, improving employee experience, and delivering measurable savings, all while ensuring strong governance, compliance, and data-driven decision-making.

What You Will Be Doing

You will be responsible for owning and managing the global Travel & Expense program, with a particular focus on the Navan platform and the end-to-end T&E process across Stolt-Nielsen’s global operations. On a day-to-day basis, you will translate high-level strategic goals into concrete plans, manage configuration and policy settings in Navan, and coordinate workflows, integrations, and vendor performance to ensure the platform runs smoothly and efficiently.

You will work closely with Executive Assistants, Office Managers, local teams, suppliers, and stakeholders across different functions, countries, and time zones to drive adoption, continuous improvement, and strong compliance with T&E policies. You will regularly use travel and expense data to identify savings opportunities, optimize policies and payment methods, and track realized savings against baselines, while balancing employee experience and business needs. You will also build and maintain a recurring management reporting cycle, providing senior leadership with clear insights on program performance, savings, compliance, traveler experience, and sustainability, along with actionable recommendations.

In addition, you will coordinate user support, training, and communication activities, working with Navan and internal teams to resolve issues at root cause level and support duty of care processes for travelling employees. Throughout, you will operate as a proactive self-starter, creating structure, setting goals, driving accountability, and ensuring that governance, controls, and audit requirements are fully embedded into business-as-usual operations.

Key Responsibilities

  • Own the end-to-end global Travel & Expense program and Navan platform, including:
    • Overall roadmap and annual priorities
    • Configuration, workflows, policy settings and integrations
    • Vendor performance management
    • Driving adoption and continuous improvement
    • Assessing relevant product updates and leading clear communication, guidance and change activities for employees and approvers
  • Drive savings and commercial value by:
    • Using travel and expense data to identify and prioritize savings opportunities
    • Developing sourcing plans and optimizing policy settings, payment methods and automation
    • Balancing cost, employee experience and business needs
    • Working proactively with Executive Assistants, Office Managers, local teams and suppliers to negotiate better rates and manage contracts
    • Tracking realized savings against agreed baselines using independent internal analysis
  • Strengthen governance, controls and compliance by:
    • Establishing and maintaining a clear T&E governance and monitoring framework
    • Using Navan alerts, exception reporting and data analysis to identify policy breaches, control issues and recurring root causes
    • Ensuring appropriate follow-up and escalation
    • Coordinating policy reviews with relevant stakeholders
    • Owning the annual SOC 1 Type II review
    • Driving internal audit actions through to completion and integration into business as usual
  • Lead reporting, analytics and continuous improvement by:
    • Building a recurring management reporting cycle covering program performance, savings, compliance, supplier performance, traveler experience, duty of care and sustainability
    • Providing clear recommendations, owners and timelines for senior leadership
    • Using benchmarking and retrospective business cases to support contract renewals
    • Continuously improving the T&E policy, processes and platform
  • Drive stakeholder engagement and traveler experience by:
    • Building trusted relationships across the organization and proactively engaging stakeholders
    • Constructively challenging existing practices to secure commitment and drive agreed actions
    • Coordinating user support, training and guidance with Navan and internal teams
    • Resolving recurring issues at the root cause
    • Supporting duty of care processes for travelling employees
  • Contribute to key measures of success, including:
    • Establishing a clear governance model, operating rhythm and ownership structure
    • Creating a credible savings pipeline and delivering measurable, validated savings
    • Implementing and actively using corporate rates and supplier agreements
    • Reducing out-of-policy and off-platform bookings while improving negotiated rate utilization
Qualifications

  • Bachelor degree or equivalent professional experience
  • Relevant experience in one or more of the following areas:
    • Corporate travel
    • Travel and expense
    • Procurement
    • Category management
    • Finance operations
    • Program management
  • Practical knowledge of the corporate travel and expense sector, strongly preferred, including:
    • Travel management companies
    • Booking platforms
    • Expense processes
    • Corporate cards
    • Supplier negotiations
  • Experience with Navan or another global travel and expense platform (advantage)
  • Demonstrated ability to:
    • Use spend and operational data to identify opportunities
    • Convert analysis into implemented actions and measurable results
  • Experience working in a global, matrix organization and coordinating across functions, countries, and time zones
