About the Role

We are seeking a professional and organized Front Office Executive cum Administrator to manage front desk operations and support day-to-day administrative activities. The ideal candidate will serve as the first point of contact for visitors, clients, and employees while ensuring smooth office operations, travel coordination, vendor management, and administrative support. This role requires excellent communication skills, a customer-focused approach, and strong organizational abilities.

Key Responsibilities


Front Office Management

  • Greet and assist visitors, clients, and employees in a professional manner.

  • Handle incoming calls, emails, and general inquiries efficiently.

  • Maintain a welcoming, organized, and professional reception area.

  • Manage visitor registration, records, and access procedures.


Administrative Support

  • Maintain office records, documentation, and administrative files.

  • Manage courier services, incoming/outgoing mail, and deliveries.

  • Monitor and replenish office supplies, stationery, and pantry inventory.

  • Coordinate with vendors, facility management teams, and service providers.


Travel & Logistics Coordination

  • Arrange domestic and international travel bookings, including flights, hotels, and transportation.

  • Coordinate with travel agencies and vendors to ensure cost-effective arrangements.

  • Prepare travel itineraries and support expense documentation and reimbursements.


Office Coordination

  • Manage meeting room bookings and meeting arrangements.

  • Support HR and administration teams with operational activities.

  • Ensure smooth coordination between departments for office-related requirements.


Required Skills


  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

  • Experience with visitor management systems and front desk operations.

  • Familiarity with office equipment such as printers, scanners, and telephone systems.

  • Strong administrative, organizational, and multitasking abilities.

  • Excellent verbal and written communication skills.

  • Ability to handle confidential information with professionalism and discretion.


Preferred Skills


  • Strong interpersonal and customer service skills.

  • Experience in receptionist, front office, administration, or office coordination roles.

  • Ability to interact confidently with visitors, employees, vendors, and senior management.

  • Pleasant personality with a professional and service-oriented attitude.

  • Experience managing travel bookings and office administration activities.
