About The Role
The Executive Assistant will provide comprehensive administrative, operational, and coordination support to the Head of Department while also supporting key functions across accounts, finance, administration, legal coordination, and contracts. The role is broader than a traditional EA position and requires strong organizational, analytical, and coordination capabilities to ensure smooth departmental functioning, effective communication, and timely execution of priorities.

About The Role
The Executive Assistant will provide comprehensive administrative, operational, and coordination support to the Head of Department while also supporting key functions across accounts, finance, administration, legal coordination, and contracts. The role is broader than a traditional EA position and requires strong organizational, analytical, and coordination capabilities to ensure smooth departmental functioning, effective communication, and timely execution of priorities.
Key Responsibilities
- Executive & Administrative Support
- Manage the HOD’s calendar, schedule appointments, and coordinate internal and external meetings.
- Organize travel arrangements including tickets, hotel bookings, itineraries, and reimbursements.
- Maintain records, documents, and filing systems—both physical and digital.
- Assist in organizing departmental reviews, events, workshops, and offsite meetings.
- Provide administrative and facilitation support for day-to-day departmental activities.
- Communication & Stakeholder Coordination
- Act as a single point of contact between the HOD and internal/external stakeholders.
- Draft, review, and respond to emails and official communication on behalf of the HOD when required.
- Coordinate with cross-functional teams for follow-ups, approvals, and project updates.
- Facilitate smooth information flow across teams to ensure timely execution of tasks.
- Accounts & Financial Coordination
- Manage expense statements, cost sheets, and invoice tracking for departmental activities.
- Support departmental budgeting processes and monitor expense records.
- Maintain and update subscription records and DISCO account sheets.
- Assist in purchase requisitions, vendor coordination, and financial documentation.
- Legal & Contract Coordination
- Support in drafting, reviewing, and maintaining contracts and agreements.
- Coordinate with the legal team for contract finalization, documentation, and compliance requirements.
- Maintain records of contracts, agreements, and related documentation.
- Operational & Project Support
- Track project timelines, deliverables, and follow up on key tasks assigned by the HOD.
- Provide coordination support for rapid prototyping and innovation initiatives.
- Assist with onboarding coordination for new joiners within the department.
- Graduate in any discipline
- Experience in accounts, administrative coordination, or contract management is an added advantage
- Exposure to corporate office environments is preferred
- Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Excellent organizational and time-management skills
- Strong verbal and written communication skills
- Ability to multitask and work in a fast-paced environment
- High attention to detail and commitment to quality
- Strong coordination and stakeholder management skills
- High level of integrity, discretion, and reliability
