Document Controller – Construction Project
Manage and maintain all project documentation including drawings, specifications, contracts, submittals, correspondence, and technical records throughout the construction lifecycle. Establish and enforce document control procedures, naming conventions, and filing systems to ensure consistent organization and easy retrieval of project information.
Receive, log, distribute, and track all incoming and outgoing project documents using document management systems (Procore, Aconex, SharePoint, or similar platforms). Ensure proper version control, maintain revision histories, and archive superseded documents while keeping current versions readily accessible to authorized project personnel.
Process and distribute construction drawings, RFIs, submittals, transmittals, and change orders in accordance with established workflows and approval matrices. Monitor document review cycles, track outstanding approvals, and send timely reminders to stakeholders to prevent delays in project activities.
Maintain comprehensive document registers and logs including drawing registers, submittal logs, RFI logs, transmittal registers, and correspondence logs. Generate regular status reports on document flow, pending approvals, and outstanding items for project management review.
Coordinate with project managers, engineers, contractors, and consultants to ensure timely submission and distribution of required documentation. Verify completeness and accuracy of submitted documents before processing and routing for appropriate reviews.
Manage access permissions and user rights within document management systems, ensuring information security and controlled distribution of sensitive or confidential project documents. Conduct regular audits to ensure compliance with document control procedures and quality standards.
Support project close-out activities by compiling as-built drawings, O&M manuals, warranties, certifications, and final documentation packages for client handover and archival purposes.
Requires strong organizational skills, attention to detail, proficiency in document management software, and understanding of construction documentation processes. Prior experience in construction document control essential.
