Position Overview:

We are looking for an organized and resourceful Admin Executive to join Nomiso. The ideal candidate will have strong administrative skills and a basic understanding of IT services and operations. This role requires excellent multitasking abilities, attention to detail, and the ability to coordinate office tasks in a fast-paced environment to ensure the smooth functioning of day-to-day operations.

Key Responsibilities:

  • Office Administration:
  • Oversee day-to-day administrative operations and ensure office systems and processes run smoothly.
  • Manage office supplies, ordering and maintaining inventory to ensure continuous operations.
  • Maintain and organize physical and electronic files, ensuring easy access and compliance with data privacy regulations.
  • Ensure the cleanliness and organization of the office space, including coordinating office maintenance and repairs.
  • Scheduling & Calendar Management:
  • Coordinate and schedule meetings, appointments, and travel arrangements for executives and the team.
  • Set up meeting rooms, assist in preparing agendas, and record minutes during meetings.
  • Manage conference calls, video calls, and virtual meetings, ensuring technical setups are seamless.
  • IT Systems Support:
  • Coordinate with IT teams or service providers for hardware/software repairs and updates.
  • Help onboard new employees with setup of workstations, devices, and accounts for office IT systems.
  • Communication & Correspondence:
  • Handle inbound and outbound communications (phone calls, emails, and other correspondence) professionally.
  • Act as a liaison between clients, vendors, and internal teams, ensuring smooth information flow.
  • Maintain records of important correspondence, contracts, and agreements.
  • Assist in maintaining employee records, attendance, and performance documentation.
  • Support employee onboarding, including orientation and documentation.
  • Travel and Event Coordination:
  • Arrange travel and accommodation for employees, visitors, and clients.
  • Organize internal and external meetings, seminars, workshops, and events.
  • Vendor & Supplier Management:
  • Liaise with vendors and suppliers to ensure timely delivery of goods and services.
  • Process purchase orders, invoices, and contracts for office equipment, software, and services.
